2. What Information We Collect

We may collect and process the following personal information:

a) Information you provide directly

  • Name
  • Address
  • Email address
  • Telephone number
  • Property details
  • Enquiry details and correspondence
  • Information provided via contact forms, emails, or phone calls

b) Website usage information

  • IP address
  • Browser type and version
  • Pages visited
  • Date and time of visits
  • Referring website addresses

This information does not normally identify you personally and is used for analytics and site improvement.

c) Social media and chat enquiries

When you contact us through Facebook, Instagram, WhatsApp or website chat, we may receive your message or public comment, profile name or account identifier, message dates and identifiers, the channel or enquiry source, and the contact, property and service details you choose to provide, including your name, installation address and postcode, email, preferred callback telephone number and requirements.

We may keep relevant conversation history and a summary so our team can understand and follow up your enquiry. Public comments remain visible according to the platform’s settings. Please do not post your address, telephone number or other private information publicly; where details are needed, we will invite you to a private conversation.

3. How We Use Your Information

We use your information to:

  • Respond to enquiries and provide quotations
  • Deliver and manage our services
  • Communicate regarding installations, surveys, or appointments
  • Improve our website and services
  • Maintain internal records
  • Meet legal and regulatory obligations
  • Prevent fraud and misuse

We do not sell your personal data.

3a. AI-assisted enquiries and human support

Where an AI-assisted enquiry service is enabled, it may help answer questions using our approved information, ask for relevant details and prepare a conversation summary. The new AI enquiry tools are currently being prepared and tested; this notice does not mean an automated assistant is already operating on every channel. The service may use the messages and relevant conversation context you provide to understand your request. Please avoid sending sensitive information that is not needed for your enquiry.

Relevant contact details, service requirements and conversation summaries may be recorded in Pipedrive as a contact, enquiry/deal or note and routed to the appropriate member of our team. Automation services such as Make may transfer and organise this information between our systems. Staff can take over or review an enquiry; you can also ask to speak to a person.

We plan to use relevant conversations to suggest improvements to our FAQs and writing style. Staff would review those suggestions and remove identifying customer details before approving updates to our shared information. This planned review process is separate from a customer’s private conversation history; it does not automatically train or fine-tune an AI model on each conversation. We do not use the enquiry assistant to make binding installation, grant, payment or appointment decisions.

4. Lawful Basis for Processing

We process personal data under the following lawful bases:

  • Consent – for optional processing where we expressly ask for your agreement. You can withdraw that consent by contacting us.
  • Contract – to take steps you request before entering a contract, such as preparing a quotation, and to provide agreed services.
  • Legal obligation – where required by law
  • Legitimate interests – to respond to general enquiries, organise and route enquiries, maintain relevant conversation context, improve our approved answers through staff-reviewed suggestions with identifying customer details removed, and prevent fraud or misuse, while considering your rights and expectations.

5. Cookies & Analytics

Our website uses cookies to:

  • Enable core website functionality
  • Analyse traffic and usage patterns
  • Improve user experience

We may use third-party services such as:

  • Google Analytics
  • Meta (Facebook) tracking tools

You can control or disable cookies through your browser settings. Where required, we will request your consent for non-essential cookies.

6. Third-Party Services

We may share limited personal data with trusted third parties where necessary, including:

  • CRM and job management systems (e.g. Pipedrive, ServiceM8, GoHighLevel)
  • Survey, design, or proposal platforms
  • Payment processors (where applicable)
  • Meta’s Facebook, Instagram and WhatsApp services, when you use those channels.
  • Automation and integration services such as Make.
  • AI service providers used through our configured enquiry tools, where an AI-assisted service is enabled, to process relevant messages and context and prepare replies or summaries.
  • Regulatory bodies where legally required

All third parties are required to handle data securely and in compliance with UK GDPR.

The providers used depend on the channel and service you use. Social platforms also process information under their own privacy policies. Contact us if you would like details of the providers involved in your enquiry.

7. Data Retention

We retain personal data only for as long as necessary:

  • Enquiry data: typically up to 24 months
  • Customer and installation records: up to 7 years (for legal, warranty, and accounting purposes)

Enquiry details and summaries copied into our CRM are covered by the enquiry retention period above. Conversation histories held on messaging platforms and technical automation or AI logs are separate records; the CRM period does not establish an identical deletion period in every provider’s system. We determine how long relevant records are needed by the status of your enquiry, any complaint or dispute, security and troubleshooting needs, and applicable legal requirements. Platform records may also be governed by the platform’s own policies. Contact us for details about the records associated with your enquiry.

8. Your Data Protection Rights (UK GDPR)

You have the right to:

  • Access your personal data
  • Request correction of inaccurate data
  • Request deletion of data (where applicable)
  • Restrict or object to processing
  • Request data portability

Requests can be made by contacting us using the details above. We will respond within one month. You also have the right to lodge a complaint with the Information Commissioner’s Office (ICO).

You can ask for human support and object to processing based on legitimate interests by contacting admin@danlec.uk. We will consider your request and explain any lawful reason why particular records need to be retained.

9. Data Security

We take reasonable technical and organisational measures to protect personal data from loss, misuse, unauthorised access, or disclosure. Data may be stored on secure servers within the UK or EEA, or with trusted providers that comply with UK GDPR.

Some service providers may process information outside the UK. Before we enable a new AI enquiry service for real customer information, we will identify its providers, review processing locations and put any required UK international-transfer arrangements in place. Contact us for details of the providers involved and any applicable transfer safeguards.

10. Children’s Data

Our services and website are not directed at children under 13. We do not knowingly collect personal data from children.

11. Changes to This Policy

We may update this Privacy Policy from time to time. The latest version will always be available on our website.
